The Dailies Page

6 min read
Available now on Beta, This feature is in beta testing and will roll out to everyone soon.

What is this?

The Dailies page lists every daily report your crews file. Each row shows the date, project, foreman and status. You can filter the list, see each person's hours on the Hours tab, and act on many dailies at once. You can also download the list, or the job cost of your dailies, as an Excel or CSV file. The list keeps your filters when you leave it and come back. Open it from Operations > Dailies.

Who's this for?

  • Foreman, see your own drafts and finish them.
  • Superintendent, review and approve the dailies your crews submit.
  • Payroll, find approved dailies that are ready to finalize.
  • Project manager, check that every working day on a job has a daily, and download the job cost by phase.

How to use it

Step 1: Open the Dailies page

Go to Operations > Dailies. The Dailies tab shows one row per daily, with its status.

Step 2: Filter by status

Click Status and tick one or more statuses. The list shows only the dailies that match.

Step 3: Pick a date range

Click All Dates next to Filters. Pick the first day and the last day. The list shows only the dailies in that range.

Step 4: Your filters stay

Set the search, date range, statuses, projects, sub-organization and sort that you need. The list keeps them. They come back when you click Dailies in the left menu, open the list in a new tab, or refresh the page.

Step 5: Come back to the same place

Click a row to open a daily, then go back to the list. The list opens with the same filters, at the same scroll position.

Step 6: See each person's hours

Click the Hours tab. Each person shows the total hours for the week, and you can open the days behind it. The calendar button shows the same hours as people by days, with a No Daily row for the working days that have no daily. See The Hours Tab article for the details.

Step 7: Act on many dailies at once

Tick the box on two or more rows. A bar opens with the actions that fit the dailies you picked, such as Submit Dailies or Discard Drafts.

Step 8: Download the list

Click the Download icon at the top right. Click Download .xls or Download .csv. The file has the columns and the filters that the list shows. If you tick rows, the file has only those rows.

Step 9: Download the job cost by phase

Tick the dailies that you want. If you tick no dailies, the file uses all the dailies in the list. Click the Download icon, then click Job Cost by Phase .xls or Job Cost by Phase .csv. The file has one row for each daily, phase code, cost type and resource, and a Total row.

The full details

  • Draft: The foreman is still filling in the daily.
  • Submitted: The foreman sent the daily for review.
  • Approved: A reviewer approved it. A badge such as APPROVED 2/2 shows how many approval levels are done.
  • Finalized: The daily is locked for payroll.
  • Exported: The daily was sent to your payroll or accounting system.
  • Declined: A reviewer sent the daily back to the foreman to fix.
  • People: The crew count is the same on the list, in the calendar view of the Hours tab, in the Export Center and in the Daily Report panel.
  • Temporary crew members: Their hours count on the list, in the Export Center, on the Hours tab and on the Budgets tab.
  • Daily Actions: Each row has a menu with the actions its status allows, such as Submit, Reopen, Discard and Show History.
  • Show History: Shows every status change on the daily. It also shows each change to materials, tools and equipment after submit, with who, when, and the old and new value.
  • Selection bar: Shows only actions that the selected dailies allow. Reviewers also see Approve, Finalize and Decline.
  • New Daily: Starts a new daily for a project and date.
  • All Dates: The list shows dailies from all dates. Pick a date range to show fewer dailies.
  • Saved filters: The list saves your search, date range, statuses, projects, sub-organization and sort.
  • Where they are saved: In this browser, for each user and company. Another computer or another browser starts with the default list.
  • Saved date range: The dates stay fixed. For example, a saved invoice week stays the same week on the next day.
  • Clear Filter: Open Filters and click Clear Filter. The list shows the default view again and forgets the saved filters.
  • Links with filters: A link with filters in its address opens with those filters. Your saved filters do not apply to it.
  • Download .xls and Download .csv: The file has the visible columns in the same order. It uses your search, filters, status and date range. When you tick rows, it has only those rows.
  • Job Cost by Phase columns: Date, Project Code, Project, Foreman, Daily Status, Phase Code, Phase Name, Cost Type, Resource, Hours, Quantity, Unit and Amount ($).
  • Job Cost by Phase amounts: The total is equal to Clue Actual on the Projects > Budgets tab for the same dailies.
  • Hours Without Rate: Hours with no rate have no amount. This column shows them. It shows only when the file has such hours.
  • Uncoded: Cost with a cost code that does not match a phase on the project shows as Uncoded.
  • Units: Quantities with different units go on different rows.
  • Cost access: If your role cannot see costs, the file has no Amount ($) column.
  • Which dailies: The files contain only the dailies that you can see.
  • Per diem: When your company uses per diem, the crew step of a daily shows per diem chips. See Per Diem on Dailies.
  • Operator on a machine: When a crew row names a machine that you own, and the machine's rate line has Labor Included on, the operator's hours on that machine cost 0.00. The rate already includes the operator. See Setting Up Rate Books.
  • Operator on a rented machine: The rental rate does not include the operator. The operator's hours are charged at the pay class.
  • Hours do not change: The operator still has the hours on the timecard, in payroll and in the labor export. Only the job cost changes.
  • Finalized and exported dailies: A change to Labor Included does not change the job cost of a finalized or exported daily.

Tips

  • If an operator's crew cost shows 0.00, check the machine's rate line. Labor Included is on, so the machine rate holds the operator.
  • In the calendar view of the Hours tab, the No Daily row shows the working days with no daily for a project.
  • Combine Status with Filters to narrow a long list fast.
  • Click any row to open that daily. When you go back, the list keeps your place.
  • Set the date range to your invoice or payroll week. The list keeps that week until you change it.
  • Click Filters > Clear Filter to start again from the default list.
  • Pick a date range, such as one week, before you download the job cost. The file then shows only that week.
  • To keep test dailies out of the job cost file, tick only the real dailies.
  • Open the .xls file in Excel and paste the rows into your job cost review sheet.
